2. Hosting and logs
The website, appointment page, PHP application and MariaDB are hosted by IONOS. IONOS may process technically necessary connection and server logs including IP address, time, requested address, referrer and browser data for delivery, troubleshooting and security under Article 6(1)(f) GDPR.
3. Appointment enquiries
We process the requested time, company, contact person, property address, telephone, email, language and optional note to handle the enquiry, reserve the time against duplicate requests, contact you and prepare a possible contract under Article 6(1)(b) GDPR. Technical identifiers and pseudonymous rate limits protect integrity under Article 6(1)(f) GDPR. Your selection is a request; Prime Facility confirms it personally afterwards.
4. Email, database and recipients
Enquiries are stored in MariaDB. A durable queue sends a receipt to the customer and an internal message through IONOS SMTP and retries failed delivery. Recipients are authorised Prime Facility personnel and IONOS as hosting, database and email provider. Processor agreements, security measures and current subprocessors remain subject to organisational verification; this notice does not claim an unverified contractual status.
5. Optional address search
After three characters, our server sends the query to the public Nominatim service at nominatim.openstreetmap.org, restricted to German results. The service receives our server IP and the search phrase, which may identify a property. Results are no longer used after 24 hours and are deleted when the same search is requested again or by the daily maintenance run; the cache file can therefore technically remain for up to 48 hours. The operator is the UK-based OpenStreetMap Foundation; see its privacy policy. The EU has adopted an adequacy decision for the United Kingdom. Search is optional and direct entry remains available.
6. Retention and backups
Unheld enquiries are automatically deleted six months after receipt once the appointment has passed and no pending or failed email remains. Statutory retention, contract performance, legal claims or a documented hold can require longer retention. Deletion runs are logged without deleted content. Database backups are created daily, restore-tested and removed from the webspace after 14 days. Mailbox copies require corresponding organisational deletion.
7. Cookies, browser storage and external links
No cookies, analytics, advertising or tracking services are used. Form selections and contact details are not stored in localStorage or sessionStorage. A consent banner is therefore not required. A confirmation named pf_cookie_notice_v1 saved by an earlier website version is no longer read or used; it can be removed through your browser’s site-data settings. Fonts, scripts and media are loaded locally from this domain. WhatsApp and Instagram are external links only; Meta processes data under its own responsibility after a click and may process data outside the EU. No social embeds or pixels load before a click.
8. Rights and complaints
Subject to the law, you have rights of access, rectification, erasure, restriction, portability and objection under Articles 15 to 21 GDPR. You may complain to the Berlin Commissioner for Data Protection and Freedom of Information or another competent authority. The form is not based on consent, so no mandatory consent checkbox is required.
